How the clubs using SK Badminton coaching look after the details of players, parents and coaches - on this website and in the SK Badminton iPhone app.

Who we are

This website and app are used by these badminton clubs to run their coaching sessions. Each club looks after the details of its own members:

  • VP Badminton Academy
  • WJBC Club

What we keep, and why

  • Your account: name, email, phone and password (stored scrambled, never readable). To sign you in and contact you about sessions.
  • Player details: name, date of birth, gender, club, Badminton England number, and the group or squad a player is in. To book the right sessions and keep juniors in the right age group.
  • Safety and welfare: medical information, emergency contacts, parent or guardian details, photo consent, and injury or first-aid reports. So coaches can keep players safe and act quickly if something happens. Ethnicity, if given, is used only for the club's equality reporting.
  • Coaching records: bookings, attendance, absences, waiting lists, coach notes on progress and awards such as player of the week.
  • Payments: what is owed and paid. Card payments are taken by Stripe: we never see or keep card numbers.
  • Documents: forms you sign or upload (for example consent forms), kept privately and shown only to you and your club's staff.
  • Messages and notifications: messages from your club, and reminders by email, browser notification or the iPhone app.
  • Coaches: availability, holidays, timesheets and pay rates, to plan sessions and pay coaches. A coach's name, photo and coaching details may be shown on the website.
  • Face ID sign-in (if you switch it on in the app): your face never leaves your phone; we keep only a scrambled copy of a key stored in your phone's Keychain.
  • Camera: used only while you scan a QR code; no pictures are taken or kept.
  • Cookies: one to keep you signed in and one for form security. No advertising or tracking.

Who can see it

  • You, and for a junior, their parent or guardian.
  • Coaches and admins of your club. Other clubs on the system can't see your details unless you play with them too.
  • Session helpers get a short-lived link for one session, showing what they need on the day (who's booked, and contact and medical details for first aid).
  • Service providers who run parts of it for us: Stripe (card payments), Apple (iPhone notifications) and the club's email provider. They only use your details to do that job.
  • Player details are never public. We don't sell or share them, and there are no adverts.

Children

Most of our players are juniors. A parent or guardian registers a child and looks after their account; we ask only for what coaches need to run sessions safely.

How long we keep it

For as long as you're a member and then for as long as the club needs it for its records (for example accounts, and injury or safeguarding records, which clubs must keep for longer). When it's no longer needed it is deleted or made anonymous.

Your choices

  • See or correct your details: sign in and open your profile.
  • A copy of your details, or deleting your account: sign in and go to My documents → privacy requests (also in the app). Your club deals with it and tells you when it's done. Records a club has to keep by law (for example payments or injury reports) are kept, without anything else about you.
  • Switch off Face ID or notifications in the app or your phone's settings.
  • Anything else: contact your club (above). You can also contact the Information Commissioner's Office (ico.org.uk).
